Team members

Invite editors and coordinators to work on your orders with their own sign-in, decide who can pay with your balance, and turn a member's access off.

Team members are people at your studio — editors, coordinators, assistants — who place and follow orders under your account with their own email and password. They share your orders, your drafts and your credit balance, but never see your billing or account settings.

Before you start

  • You are the account owner: the person who signed up. Team members cannot invite other team members.
  • Know the email address and name of the person you are inviting. We do not email the invitation for you — you get a link and send it to them yourself.

Select Settings in the top bar, then the Team tab. The page is headed Team, with Invite member on the right. A line above the table counts your seats, for example 2 of 20 team members. Team members can work on all your orders. Billing and account settings stay with you.

Steps

Invite a member

Select Invite member. The dialog Invite a team member explains: They sign in with their own email and password and can work on all your orders. They cannot see billing or account settings.

Fill in Email and Name — the name is Shown next to the messages and orders they create. — and select Create invitation link.

Send them the link

The dialog changes to Invitation link ready: Send this link to Mateo Ruiz. It expires in 7 days. It works once. Copy the link from the box and paste it into an email or a message.

As the dialog warns, You cannot see this link again after closing this window. If you lose it, use Regenerate link on the member’s row.

They join

The link opens a page titled after you — for example Emma Lindqvist invited you to Tucia — where they set a password (8–100 characters, with at least one letter and one number) and select Join team. From then on they sign in at tucia.com/login with their own email address.

On your Team tab their status changes from Invited to Active.

The columns

Column What it shows
Member Name and email address.
Status Active (green dot), Invited with Link expires … or Link expired underneath (amber dot), or Disabled (grey dot).
Can pay with balance Whether this member may place orders using your studio’s credit balance. On for every new member.
Last sign-in The date they last signed in, or Never.
Actions The ··· menu: Regenerate link and Disable, or Enable for a disabled member.

What team members can and cannot do

  • They see Orders and Drafts in the top bar, and every order on your account — including ones you or other members placed. They can start new orders, upload photos, write instructions, message the editor and review results.
  • They do not see Settings: no profile, receipt details, billing, billing history or team page.
  • Paying for an order. A member with Can pay with balance on can place an order that your credit balance covers. If the balance is not enough, checkout reads Insufficient balance. Please contact your account owner to top up. — members cannot pay online with PayPal or a card. With the switch off, checkout reads Only the account owner can pay for this order. and Ask them to sign in and complete it from Drafts. Everything you prepared is saved. See Review and pay.

Changing a member

  • Regenerate link creates a new link and stops the old one. For an invited member it is a fresh invitation; for an active member it is a link to set a new password (New sign-in link ready). Either way you send it yourself.
  • Disable asks Disable Olof Nilsson? — They are signed out right away and cannot sign in again. Orders and messages they already created keep their name. You can enable them again at any time. Confirm with Disable member.
  • Enable gives a disabled member access again. If they had never joined, you also need to Regenerate link so they can.
  • Turning Can pay with balance on or off takes effect at once and confirms with a toast such as Chloe Berg can now pay with the studio balance.

Rules and limits

  • Up to 20 team members per account. Invited and active members count; disabled ones do not. At the limit, Invite member is grey: You have reached the maximum of 20 team members.
  • An invitation link is valid for 7 days and works once.
  • A member’s email address cannot already belong to a Tucia account.
  • Team members sign in at tucia.com/login like you do, with their own password or with Google using the invited address.
